Attaching Files to Your Public Google Calendar With Google Drive

How to Use Google Calendar as a Class Website (Part 4 of 6)

In the fourth part of this six-part Google Calendar series, we will explore:

  • How to Enable Event Attachments via Google Labs settings,
  • how to upload a file to Google Drive for attaching to your public calendar,
  • how to change the file privacy settings to public, and
  • how to attach a file from Google Drive to a public calendar event.

Step 1 – Enable Event Attachments via Google Labs Settings

In Google Calendar, select the Settings option in the top-right of the screen. From the drop-down menu, select Labs.

A list of Google Labs options will appear. Scroll down to Event Attachments and select Enable in the right side of the box. Click Save.

Step 2 – Upload the File to Google Drive

Assuming it is a new file you’d like to attach to a public Google Calendar event, go to drive.google.com in a browser. In the top-left of the screen, click the Upload button next to “Create” and click files from the drop-down menu.

Your Finder / File Manager should open allowing you to select file(s). Select the files you’d like to upload and click Open.

Step 3 – Change File Privacy Settings to Public

In Google Drive, select the checkbox next to the file(s) you’d like to share on your Public Google Calendar and click the Share/Collaborators button.

A Sharing Settings box should now appear. Under Who Has Access, click Change.

Visibility Options should now appear. Select Public on the Web.

Step 4 – Add File As Attachment to a Public Google Calendar Event

Going back to Google Calendar, you can now attach the file to a calendar event.

Create a new event or edit an existing event and press Edit Event.

Click the Add Attachment link near the bottom of the Calendar Edit Event page.

Select the file(s) you would like to add from Google Drive. Note that you can also upload files and attach them to your calendar event from this screen. Press Select.

Your file(s) should now appear listed near the bottom of the Edit Event page. If you are satisfied, click the Save button.

Now, when students access your Public Google Calendar and click the Calendar Event, they must click the More Details link to access the attached file(s).

All attached files should be listed. Students can click on the desired links to download/view files.
